RULES AND REGULATIONS FOR TRADE STANDS,
FOOD SALES, CHARITIES, CRAFT, DELICATESSAN ETC.
To be applied and/or interpreted by any show official as appropriate to the safe and efficient operation of the show.
1. APPLICATION FOR SPACE
All applicants for space at Poynton Show will be referred to as exhibitors. All applications will be submitted on the appropriate
application form. The application form must be signed by the exhibitor or his/her representative and the signature on the form shall be
deemed to be acceptance by the exhibitor of these rules and regulations.
2. OBSERVANCE OF REGULATIONS
a. All exhibitors, their contractors and employees, whilst on the showground, shall be subject to the rules and regulations, as interpreted by the society and the officials appointed by them.
b. In addition to other conditions imposed hereunder each exhibitor must observe, perform and comply with all appropriate Health and Safety Standards, COSHH Regulations and Risk Assessment criteria in force at the date of the Show and in particular must make
himself/herself familiar with the Health and Safety Standards, COSHH Regulations and Risk Assessments at Shows, Demonstrations, Exhibitions and similar events.Special attention is also required in respect to particular regulations for:-Vintage Machinery, Cattle/Bulls,
Horses, Equestrian/Shires, all other Animals and Birds, Fairs and its Machinery and Stalls. Food Stall and Outlets, Sweets and Confectionary. Alcoholic Drink Outlets and all Electrical Equipment.
3. VEHICLE REGULATIONS
a. Exhibitors using large mobile units should arrange to have these in position not later than 9.00pm the day before the show.
b. No Exhibitors units will be positioned after 9pm on the day before Show Day. No Exhibitors units will be admitted on the site after this time until 6am on Show Day.
c. Exhibitors vehicle passes will be issued to enable the vehicles to enter the Show Ground on Show Day up to 9am. All vehicles must be clear of the public areas and corridors by 9.30. Failure to display the Vehicle Pass could prevent entry to the show.
d. Any Exhibitor not on the Showground by 9am on the day of the show, without prior notification, may not be admitted and will forfeit any fees paid.
4. ADMISSION TICKETS AND VEHICLES PASS
Exhibitors will receive two admission tickets and one vehicle pass. Tickets will be dispatched during the first the week of August. Additional admission tickets and vehicle passes can be purchased (see Application Form). There is a free adjacent Car Park.
5. TRADING STANDARD
The Show Officials shall have the power to remove from the Showground any Exhibitor whose articles are not in accordance with the description given on the Application Form, or any Exhibitors whose products are not in accordance with the standards set by the
6. WITHDRAWAL OR CANCELLATION OF RESERVED SPACE.
Where an Exhibitor withdraws from the Show or cancels the space reserved for him/her for any reason, all fees due shall be forfeited and the society reserves the right to re-let the space.
7. ALLOCATION OF SITES
The allocation of sites and positioning of Exhibitors will be the discretion of the society, although every endeavour will be made to meet any requests made by an Exhibitor the position of his/her unit.
a. Exhibitors booking a space must apply and pay for sufficient space for all stays or guy-ropes required for any building, tent or caravan to be erected on the space. Allow 1 metre for tow bars on caravans or trailers.
b. Boundaries of sites will be marked and in no circumstances will Exhibitors be allowed to occupy a larger space than allocated to them without an additional charge, no displays must trespass onto the marked onto corridors.
c.As the site is a Park, the Exhibitor will be allocated a site by the society and it will be a condition of the Society’s acceptance of the Exhibitors application for a site that the Exhibitors will take and accept the site allocated irrespective of its condition.
d. The Exhibitor will be responsible for all damage to the site by him/her, his/her staff or agents and will undertake to make good any such damage.
8.TIMES OF OPENING
All exhibitors units must be open and manned throughout the time the Show is open to the public which is 8am to 5pm.
9. FIRE PROTECTION
a. It will be the responsibility of each Exhibitor to ensure that the adequate Fire Precautions are provided, particularly in the case where any heating or similar appliance is used.
b. Fuel must be stored separately away from any generators and both must be protected from the public.
c. Adequate Fire fighting equipment should also be in place.
Exhibitors must not use loudspeaker apparatus, noisy engines, generators or any other offensive practices to cause annoyance to adjoining Exhibitors.
11. COLLECTIONS AND APPEALS
Charitable or other Institutions wishing to make appeals for contributions to their funds must do so from within the area of their trade or charity stand.
It shall be a condition of entry to the Showground and Car Parks that no person shall ply for trade as a Snapshot Photographer or solicit trade with visitors to the Show in any other capacity deemed by the Society’s Officers to cause annoyance.
13. RESPONSIBILITY OF EXHIBITORS.
a. The Exhibitor will indemnify the society in respect of all actions causing claim losses, proceedings or costs incurred, claimed or arising out of the use by the Exhibitor of the Showground or by his/her agents, contractors, employees, licensees or other persons being present at his/her request or with his/her concurrence for the purpose of the Show and the Exhibitor shall similarly be liable for all plant, equipment, vehicles, stands, articles, animals, livestock, goods or other things of whatever nature brought onto the Showground for whatever purpose and the exhibitor shall be liable similarly for any matter arising out of the Exhibition handling or housing of such exhibits and the conduct if the Exhibitors stand generally. This includes verbal abuse. Acceptance of the foregoing provision generally shall be a condition precedent of entry.
b. Each Exhibitors accepts the duty to insure his/her site for Employers and Public Liability in the sum of not less than £2000,000 (two million) and also on demand produce a Cover note or Policy to the Poynton Show Official nominated to supervise sites.
c. All Exhibitors selling alcoholic beverages must have a licence which must be displayed at the site and be subject to inspection by the Poynton Show Official appointed to inspect the licence.
14. NON-COMPLIANCE WITH REGULATIONS.
The Officials shall have the power to order the removal of any plant, machinery, vehicle, equipment, goods or any other thing, whatever kind of nature, either static or vehicular exhibited or bought onto the Showground for whatever purposes or to order the stand of any exhibitor to be closed forthwith if such on exhibitor does not or has not complied with any of these Rules and Regulations. The direction of the Officials or any other requirement must be properly observed by an Exhibitor his/her employees, contractors, licences or other persons being present at his/her request or with his/her concurrence for the purpose of the show. Such requirements to include
those of the General Law, the Bye-laws or other requirements and the Officials shall have in any circumstances the right to expel forthwith any Exhibitor or any other person associated with him/her who has in any way infringed the Rules and Regulations including the foregoing provisions.
15. CANCELLATION OF SHOW.
The society reserves the right to cancel at any time and for any reason the Show held annually by the society, subject to the Society’s Secretary giving 24 hours notice of cancellation to the exhibitor, except in the case of flooding, civil commotion, act of God or riot in which case notice given verbally, posted in writing at the Shows Entrances or otherwise by the Society’s Official shall be deemed sufficient. If the Society decides to cancel the show the Exhibitor will be repaid his/her entry fees less a small handling charge and the Society will not be responsible for any financial trading loss of whatever kind incurred by the Exhibitor.
16. CLEARING SITE.
Exhibitors must clear their sites by 2pm on the day after the Show. A charge may be made for the clearance of any rubbish left on site and not placed in the bins provided.
EXIBITORS WILL BE HELD RESPONSIBLE FOR ALL FIREW AND ACCIDENTAL DAMAGE CAUSED BY THEM, THEIR STAFF OR AGENTS AD THERFORE EXHIBITORS SHOULD INSURE NOT ONLY AS REGARDS THEIR OWN PROPERTY BUT ALSO AGAINST THIRD PARTY CLAIMS FOR BOTH FIRE AND ACCIDENTAL DAMAGE.
